Trust & support
Acceptable use
Keep SportHQ useful and safe for the people in your team.
Effective and last updated:
Respect people and protect children
Do not bully, threaten, discriminate, harass, groom or exploit anyone. Do not publish sexual or exploitative material involving children, encourage self-harm or share credible threats. Team chat should support legitimate team activities. Do not use it to arrange secret or inappropriate contact with a child.
Respect privacy and rights
Only collect and share information you are authorised to handle. Do not post medical details, screening numbers, guardian contacts or private information in general team chat. Obtain appropriate media permissions and respect their withdrawal. Do not copy, export or publish another team’s records without authority. Upload only content you have the right to use.
Keep accounts and systems secure
Do not share sign-in codes, impersonate others, bypass permissions, access another organisation’s data, distribute malware or overload the service. Do not send unsolicited promotions or use the platform for fraud. Security researchers should contact us before testing and must not access or download personal information.
Organisation responsibilities
Organisers should review roles and family links, remove former members, supervise enabled player chat and act on reports. SportHQ’s controls support safeguarding; they do not replace your organisation’s policies or emergency procedures. AI and exports must follow the same privacy and consent responsibilities as other features.
Report a problem
For inappropriate team content, contact your club’s administrator or safeguarding contact. To report platform abuse, email [email protected] with the organisation, approximate time and a description. Preserve relevant message identifiers if available; do not redistribute harmful material. For immediate danger, contact local emergency services. See contact and reporting.
How we respond
We assess reports and may request more information, restrict content or access, work with the organisation or refer a matter to authorities where appropriate. Urgent protective action may precede notice. Any restriction should be proportionate to the issue. You can ask support to review a decision. We do not promise continuous monitoring of every message.
